AI Marketing & Operations Executive – Drive a Coaching Brand's Growth from Behind the Scenes
Position Available: AI Marketing & Operations Executive
Location: Remote; Sri Lanka
Hours: Full-time – 5:30 AM – 1:30 PM IST (Colombo Time)

We’re looking for an AI Marketing & Operations Executive to support a fast-growing Australian coaching brand. This role is mainly focused on marketing and content—acting as a one-person content engine to manage digital presence, create content, use AI tools, handle social media, and support admin, with room to grow into a broader operational role.

Your main responsibilities and experience:
- Content Research & Ideation: Research trending topics, formats, and ideas for social media content aligned with the coaching brand's voice and audience.
- AI-Powered Content Production: Use AI tools (Claude, Poppi.ai) to build and repurpose content based on material produced by the marketing team - turning raw ideas into polished, publish-ready posts.
- Video Editing & Shorts: Perform basic video editing using Descript, and create short-form content using Opus Clip for Reels, Shorts, and TikTok.
- Canva Design: Design on-brand graphics, carousels, marketing assets, and presentation documents using Canva.
- Social Media Scheduling & Management: Schedule and manage content across platforms using Sked Social. Monitor performance and maintain a consistent posting calendar.
- Website Management: Manage and update the coaching website using Framer. Keep content current, visually sharp, and aligned with brand standards.
- Paid Ads Support: Assist with the setup and management of paid social ads - all learnable and supported with training.
- Client Coordination: Manage client meeting bookings, send out relevant content and resources, and document key takeaways and next steps after sessions.
- Monday.com Management: Become the go-to expert on Monday.com — track client outcomes, update workflows, and ensure all tasks and milestones are accurately maintained.
- Inbox & Calendar Management: Handle day-to-day email management and calendar coordination, ensuring nothing slips through the cracks.
- Client Follow-Ups & Check-ins: Proactively check in with clients, send follow-up communications, and keep all admin tidy and up to date.
- Xero Invoicing: Assist with sending client invoices via Xero when required (training provided; prior experience is a bonus)
- Must have – Experience: Minimum 2+ years in a marketing, content, design, or admin-based role - or a strong portfolio demonstrating relevant skills.
- Must have – Marketing & Content Mindset: You genuinely enjoy content creation, social media, and building a brand. You don't just execute tasks - you think about what works and why.
- Must have – AI Curiosity: You are actively interested in using AI tools to work smarter and faster. You don't need to be an expert - but you need to be excited to learn.
- Must have – Tech Savviness: Comfortable picking up new tools quickly. Familiarity with any of the following is highly regarded: Canva, Descript, Opus Clip, Framer, Sked, Monday.com, Claude, or Poppi.ai.
- Must have – Self-Starter: You take ownership of your work and don't need constant direction. You're proactive, reliable, and happy to figure things out.
- Must have – Strong Communication: Clear written English, professional tone, and confident communicating with clients and team members.
- Preferred – Marketing or Design Background: A qualification or demonstrated experience in marketing, graphic design, communications, or a related field.
- Preferred – Video Editing Skills: Experience with any video editing or content repurposing tool - even beginner-level - is a strong advantage.
- Bonus – Xero or Invoicing Experience: Any prior experience with Xero or similar invoicing software.
- Bonus – Paid Ads Experience: Familiarity with Facebook Ads, Instagram Ads, or Google Ads is a bonus - but not required.
